Privacy Policy

1. Who we are

This website is operated by Padelsphere Ltd ("Padelsphere", "we", "us", "our"), a company registered in England and Wales (company number: 16008755). Our registered office is 128 City Road, London, EC1V 2NX, and we trade from Unit F, Progressive Court, 6 Spencer Road, Blyth, NE24 5TG. We are the data controller responsible for your personal data, registered with the Information Commissioner's Office (ICO) under reference ZC159700.

2. The information we collect

Information you give us

  • Your email address when you join our mailing list.
  • Your name, email, phone number and message when you contact us or make an enquiry.
  • Details you provide when you become a member or book, including any preferences you share.

Payment and booking information

Membership payments are processed by Stripe and court bookings by Playtomic. Your full card details are handled directly by these providers and are not stored by us. We receive limited confirmation data such as your name, email and the plan or booking you chose.

Information we collect automatically

When you use our website we may collect technical information such as your IP address, device and browser type, and how you interact with the site, through cookies and similar technologies. See our Cookies Policy for details.

3. How we use your information

We use your personal data for the following purposes, relying on the legal bases shown:

  • To respond to your enquiries and provide the information you ask for (legitimate interests, or steps taken at your request before entering a contract).
  • To send you opening news, offers and event updates where you have asked to hear from us (consent).
  • To provide and manage memberships, bookings and payments (performance of a contract).
  • To keep the website secure and prevent spam and abuse, including through Cloudflare Turnstile (legitimate interests).
  • To comply with our legal and regulatory obligations (legal obligation).

4. Marketing

If you have joined our mailing list, we will send you updates about Padelsphere. You can ask us to stop at any time by contacting hello@padelsphere.io or using the link in any marketing email. We will always respect your choice.

5. Who we share your information with

We use the following providers to run the Venue. Each of them receives only what they need in order to provide their service.

We do not sell your personal information, and we do not share it with anyone else unless we are required to by law, for example in response to a request from the police, or where it is necessary to protect the safety of people at the Venue.

6. AI match recording on our doubles courts

Our two doubles courts are fitted with Clutch AI cameras. These record play continuously while the Venue is open. Our singles court is not fitted with cameras.

What is captured. Video of play on the court, and automatically generated data about play, such as shot counts, court coverage and distance moved. Where a player has linked a match to their Clutch account, that data is associated with their Clutch profile.

Why we do it. To provide match highlights and performance statistics to players as part of the court hire and membership experience, and for the operation, safety and security of the Venue.

Our lawful basis. We rely on our legitimate interests in providing this service and in keeping the Venue safe and secure. We have weighed those interests against the privacy interests of players and consider recording proportionate, because it is limited to the two doubles courts, it is signposted at the entrance and courtside, and it can be avoided entirely by playing on our singles court.

How long it is kept. Footage is stored by Clutch. There is currently no fixed deletion date, and we have asked Clutch to introduce a defined retention period. We will update this policy as soon as one is in place. In the meantime, you can ask us to delete footage of you at any time, and you can ask us to disable recording for a session before you play.

Who can see it. Players who link a match to their Clutch account can see footage and statistics from that match. Our staff can access footage where they need to for operational, safety or security reasons. We will not use footage for marketing or publish it publicly without your separate express consent.

Your choices. If you would prefer not to be recorded, tell reception before you play and we will disable recording for your session. You can also ask to use our singles court, which has no cameras. You can ask us for a copy of footage of you, or ask us to delete it, by emailing hello@padelsphere.io.

Children. A child playing on a doubles court will be recorded in the same way as an adult. A parent or guardian can ask us not to record, or ask for footage to be deleted, on the child's behalf.

7. International transfers

Some of our providers process information outside the United Kingdom. Where that happens we make sure appropriate safeguards are in place, either because the country has been recognised by the UK government as providing adequate protection, or under standard contractual clauses approved for use in the UK.

8. How long we keep your information

We keep your personal data only for as long as we need it for the purposes set out above, or as required to meet legal, accounting or reporting obligations. When it is no longer needed, we securely delete or anonymise it.

9. Your rights

Under UK data protection law you have the right to:

  • Access the personal data we hold about you.
  • Ask us to correct data that is inaccurate or incomplete.
  • Ask us to delete your data in certain circumstances.
  • Object to or restrict how we use your data.
  • Request a copy of your data in a portable format.
  • Withdraw your consent at any time, where we rely on consent.

To exercise any of these rights, contact hello@padelsphere.io. You also have the right to complain to the ICO at ico.org.uk, though we would appreciate the chance to help first.

10. Cookies

We use cookies and similar technologies to run the site, keep it secure and understand how it is used. Full details are in our Cookies Policy.

11. Security

We take appropriate technical and organisational measures to protect your personal data against loss, misuse and unauthorised access. No method of transmission over the internet is completely secure, but we work to protect your information at all times.

12. Children

Our website is not directed at children. Where we offer junior sessions, memberships and bookings for under-18s are arranged by a parent or guardian, who is responsible for providing any consent.

13. Changes to this policy

We may update this policy from time to time. Any changes will be posted on this page with a revised "last updated" date.
